Mailbox Cleanup Tool Cost Comparison

By Martin Dobson, AIERT Ltd

Comparing prices across mailbox cleanup tools is harder than it should be — because most of them don't publish company-wide pricing at all. This isn't a like-for-like price table so much as an honest map of what pricing model each tool actually uses, since that determines the real cost of rolling it out to a whole organisation far more than any single published number does.

💷

Pricing Model, Side by Side

ToolPricing modelCompany-wide pricing published?Handling headcount changes
MailBroom for BusinessPer organisation, by seat bandYes — flat monthly price, 5 published bands (1–5 through 51–100 seats), custom quote above 100Automatic — one SSO sign-in covers the whole domain; no per-person provisioning
Clean EmailPer-account bundles (1 / 5 / 10 accounts)~€11.99–35.99/mo per account bundle (per TheBusinessDive); organisational pricing is quote-onlyManual — buy and share individual account access; scored 1/5 for team fit by TheBusinessDive
SaneBoxNamed individual plans (Snack / Lunch / Business)~$4.92/user/month (per TheBusinessDive), no free plan; no per-organisation rate publishedManual — per-account subscriptions; TheBusinessDive lists teams as "not ideal for"
BitRecover Office 365 EraserNot published on-siteNo — pricing not disclosed on the vendor's own pagesUnclear — access is via direct account/admin credential login, not seat-based SSO

MailBroom is the only one in this comparison with a fully public price list — see the exact monthly rates by seat band on our pricing page.

🔢

The Actual Numbers, at 10 and 50 Users

Converted to GBP at approximate rates at time of writing (EUR≈0.85, USD≈0.75), here's what each tool would actually cost for a 10-person team and a 50-person company. Being direct about this: on raw sticker price alone, MailBroom is not the cheapest at either size — SaneBox and Clean Email both work out lower per month at these headcounts. What they don't include is explained below the table.

Tool10 users50 users
MailBroom for Business£45/mo flat (6–10 seat band) — £4.50/user£200/mo flat (26–50 seat band) — £4.00/user
Clean Email~£30.66/mo (10-account bundle, €35.99) — £3.07/userNo published tier beyond 10 accounts — quote-only
SaneBox~£36.78/mo (10 × $4.92) — £3.68/user~£183.89/mo (50 × $4.92) — £3.68/user
BitRecoverNot published — contact vendor for a quoteNot published — contact vendor for a quote

Clean Email figures assume the published 10-account bundle; there's no published 50-account tier, only "contact us for a quote." SaneBox figures assume 10 or 50 individual subscriptions at its published per-user rate, since no team/volume plan is published — and per its own independent review, teams are explicitly listed as "not ideal for." Exchange rates are indicative, not live.

⚖️

Why the Cheaper Number Isn't the Better Deal Here

Clean Email and SaneBox are cheaper per month at these headcounts — that's a real, verified number, not spin. But neither does the same job MailBroom does, and neither is built to be deployed the same way:

  • ✓SaneBox filters incoming mail — it doesn't bulk-delete or free storage. If the actual problem is an Exchange Online quota or a 'mailbox full' ticket, a cheaper filtering tool doesn't solve it at any price. See our full comparison.
  • ✓Clean Email's price is for personal account bundles you buy and distribute yourself — someone still has to track who has access, provision new starters, and de-provision leavers by hand. MailBroom's per-organisation SSO licence removes that admin overhead entirely. See our full comparison.
  • ✓Neither publishes a stated position on Exchange Online retention policy or legal hold compatibility — MailBroom explicitly works within both rather than around them.
  • ✓MailBroom's per-user cost actually falls as headcount grows within a band (£4.50 → £4.00/user from 10 to 50) — the seat-band model rewards scale, not just the raw number at one snapshot in time.

Cheapest-per-month and best-value-for-the-job aren't always the same tool — see the full functionality checklists on each comparison page before deciding on price alone.

🧮

The Cost That Doesn't Show on a Pricing Page

A per-account tool priced for individuals can look cheaper per seat than an organisation-wide licence — until you account for the admin time spent tracking who has access, provisioning new starters, and de-provisioning leavers by hand. MailBroom's per-organisation model removes that entirely: one Microsoft SSO sign-in, and every employee on the company domain gets access automatically, with no seat list to maintain as headcount shifts within a band.

Frequently Asked Questions

Why doesn't this comparison show exact competitor prices?+

Because most of them don't publish exact prices for company-wide use. Clean Email sells personal account bundles (1/5/10 accounts) and directs organisations to 'contact us for a quote.' SaneBox publishes individual-tier pricing (named Snack/Lunch/Business plans) but no per-organisation rate. BitRecover doesn't publish pricing on its own site at all. MailBroom is the only one with a full published price list by seat band — that transparency is itself part of the comparison.

What does 'per-organisation' pricing actually save an IT admin?+

Time and predictability. With per-account or per-seat tools, someone has to track who has a licence, provision new starters, and de-provision leavers. With MailBroom's per-organisation licensing, one subscription covers every employee on the company's Microsoft domain automatically via SSO — there's no seat count to manage as headcount changes within a seat band.

Is the cheapest tool always the best value?+

Not if it doesn't do the job you need. A personal-account tool priced for individuals looks cheap per account, but doesn't scale to company-wide deployment, shared mailbox cleanup, or centralised IT administration — the actual costs of that gap (helpdesk tickets, manual per-person setup) don't show up on the pricing page.
